How to use the ideal customer profile template

  1. Define your offer and account universe. Specify industry, geography and size for the product or service you are planning to market.
  2. Add qualification rules. Record must-have requirements and exclusions that your team can apply consistently.
  3. Describe the buyer’s role. Record responsibilities, goals, challenges and buying triggers from research or labelled assumptions.
  4. Review evidence and download. Add sources and unanswered questions. Export the profile or start with the blank CSV template.

The live preview reflects exactly what you enter. Blank optional fields appear as “Not provided”; the builder does not fill gaps with invented insights.

ICP versus buyer persona

An ideal customer profile describes the company you want to serve: its industry, geography, size, requirements and qualification criteria. A buyer persona describes a role within that company, including responsibilities, goals and concerns relevant to a buying decision.

This builder keeps the two views separate so a suitable account is not confused with the right contact. It also includes exclusions and source notes to support a more consistent targeting conversation.

Research reference: HubSpot’s buyer persona guide describes personas grounded in research and customer evidence.

Build a profile from evidence

Use customer interviews, CRM patterns and account research to support your profile. Distinguish observed facts from hypotheses about objections, triggers or preferred channels. Keep source notes close to the relevant assumptions.

Review customers that succeeded, customers that struggled and accounts your offer cannot serve. Agree which criteria should be strict exclusions and which should guide further research.

If you select a research-backed or mixed-evidence label, source notes are required for a profile download. The tool still does not verify that those sources support every field.

Use your profile in B2B planning

Use the company definition to guide market sizing and audience selection. Use the buyer role and qualification criteria to shape messaging, content and lead-scoring rules. Different offers or segments may need separate profiles.

Download CSV for editing and the HTML profile for sharing or printing. The exports are structured documents, not automatic CRM imports, verified audience lists or market-size estimates.

What is an ideal customer profile template?

An ideal customer profile template organises the characteristics of companies your offer is suited to serve, such as industry, size, geography, requirements and qualification rules. This builder pairs the company profile with a buyer persona and research notes.

How is an ICP different from a buyer persona?

An ICP describes a target company. A buyer persona describes a role within the company, including buying responsibilities, goals, challenges and concerns. Both should be grounded in your research or labelled as assumptions.

Does the builder research my market automatically?

No. It organises the inputs you supply and does not retrieve account data, verify sources or invent buyer insights. The starter content is a fictional example.

Can I download an editable template?

Yes. Download a blank CSV template or export your completed profile as CSV. You can also download a standalone HTML profile for sharing and browser printing. These are not universal CRM import files.

What if I do not know a field yet?

Leave optional fields blank; they appear as “Not provided”. Add unanswered questions in the validation section. Profile exports require the six core fields: offer, industry, geography, company size, buyer role and goals. A research-backed or mixed-evidence label also requires source notes.

Is the ideal customer profile builder free?

Yes. The builder, live preview and downloads are free and require no sign-up. Inputs are processed in your browser without being stored or transmitted by this tool.
